ICC 2017 student support

Please read below about last minute instructions regarding ICC 2017.
- Each student listed below will be provided with a separate room
- Each room will be provided with a bedding, blankets and bedsheets,
bucket and mug.
- The male student participants must report at the security desk
Brahmaputra Hostel.
- The female student participants must report at the security desk of
Dhansiri Hostel.
- The desk will be open from 10 am, 3rd January, Tuesday.
- Student volunteers from IIT Guwahati will help. Their mobile phone
numbers are being sent by email (only to those listed below).
- In the same emial, a google form link is also being mailed to the list of
students whose names are below. In case the email does not come by
30th Dec, Friday 11am, then please write to belur[at]iitb.ac.in
- The participants must carry their ID cards.
- Reimbursement if any (depending on what category of support the
student is listed under) will be by NEFT about 10 days after the ICC.
But bank details are needed: please bring your bank details. We will ask
you to fill an online form for the NEFT transfer. (Please visit this page
again about which bank details in addition to Account number, IFSC
code, bank name/branch, current/savings type, name of the beneficiary
as per the account.)
- Fill the online google form before 4th Jan 2017.
- Breakfast and lunch will be provided at the conference center. Dinner
will be made available at the hostel.
- Student support is being extended only to those whose names are in
the list below.
- Please read the rest of this page very carefully. Please look for answers
to your queries in this page, before you write us an email.
There are five categories of support.
Category A: Support of registration, travel and accommodation
Category B: Travel and accommodation support, but no registration support
Category C: Travel and accommodation support, but no registration support
Category D: Travel and accommodation support, but no registration support
Category E: No support (Guwahati volunteers)
Category F: Travel and accommodation support, but no registration support

Registration Instructions for Student
Participants shortlisted for Student Support
Programme
∙ All students shortlisted under the Student Support Programme have to
register as Student Registrants by October 15, 2016. Shortlisted students who do
not register by the mentioned date will not be considered further under the
Support programme and will be dropped from the list
∙ After completion of registration, please fill up the form available at
https://goo.gl/forms/ewkSSCCCKgvbeU1q1.
∙ For students listed under Category A - D and F, ICC 2017 will support
train/air/bus fare up to a maximum of Rs. 9000 or actuals, whichever is less. The
student support will also cover your accommodation costs at the host
institution only. Any accommodation outside the host institution will not be
supported.
∙ Accommodation is available from the morning of 3rd January 2017 to
afternoon of 7th January 2017 only. Please book tickets accordingly and arrange
to stay with a friend or elsewhere for period outside this window. Food is not
being arranged on any day. (Apologies due to the slight modification of the dates.
Please call between 7pm-9pm on 9987466279 on week-days if you have a difficulty
after first sending an sms.)
∙ 100% attendance of all sessions is compulsory for availing student support.
The attendance records will be checked before disbursing/reimbursing (which will
be on the last day of the conference).
∙ Due to difficulty in bill-handling, taxi-fares will not be considered for
reimbursement. Please maintain receipts, tickets (to-and-fro), boarding passes
(one-side travel by air), bills. Rules require incoming-flight-travel boarding
passes to be submitted for even partial air-fare reimbursement: please
submit them to the organizers on 4th January 2017. These dates are
strict.
∙ ICC 2017 will reimburse the registration fee for the students listed under
Category-A only. The reimbursement will be done only when the student reports
at the venue on the conference dates. But all shortlisted students have to register
for availing full/partial student support.
∙ The payment is via ‘SBI Collect’. The ICC’s SBI account is in Hyderabad
branch, and hence SBI collect says ”Hyderabad”. There is no mistake: please pay
here. (We will not be able to change the branch each year.)
∙ The decision of the organizers on any matter not listed here will be final and
binding.

- Q1. I had applied for the Student Support Programme. Have I been
selected for the same?
A1. Please check the
list displayed at https://www.ee.iitb.ac.in/%7Ebelur/icc/icc17.html. If
your name appears in the list, then you have been selected for the
support.
- Q2. I have been selected for the Student Support Programme. Do I
need to register for ICC 2017?
A2. Registration is mandatory for all selected under the Student Support
Programme. After completing the registration, please fill up the form
available at https://docs.google.com/forms/d/e/1FAIpQLSc0iR5PAzCLaIF6762LtTciB˙enMAiMaB1OCKWakzyMvg31NA/viewform
Shortlisted students have to complete this process by October 15, 2016.
- Q3. What does “Registration” mean?
A3. “Registration” means payment of the applicable conference fee
(Student fee for those selected under ”Student Support Programme”).

- Q4. I am shortlisted for the Student Support Programme. What is
the deadline for the registration?
A4. The deadline for registration is November 4, 2016 and then filling
the google form.
- Q5. I am shortlisted for the Student Support Programme. What if I
fail to the register by the deadline of October 15, 2016?
A5. On failure of registration by the deadline of October 15, 2016, you
will become ineligible for the Student Support Programme.
- Q6. What are the different categories of shortlisting for Student
Support Programme?
A6. There are six categories under which the students have been
shortlisted:
Category A: Support of registration, travel and accommodation
Category B: Travel and accommodation support, but no registration
support
Category C: Travel and accommodation support, but no registration
support
Category D: Travel and accommodation support, but no registration
support
Category E: No support
Category F: Travel and accommodation support, but no registration
support
- Q7. I am selected under Category A. Do I need to register?
A7. Registration by paying registration fees is mandatory for all
students in categories A, B, C, D and F.
- Q8. What is the mode of transport for which travel reimbursement
will be done?
A8. Travel reimbursements will be done for travel by air(economy class
only)/train (upto 2nd AC fare)/bus. Due to difficulty in bill-handling,
taxi-fares will not be considered for reimbursement.
- Q9. What is the maximum travel support for which I am eligible?
A9. If shortlisted for Student Support Programme, you will be eligible
for train/air/bus fare reimbursement up to a maximum of Rs. 9000 or
actuals, whichever is less.
- Q10. What documents do I need to produce for the travel
reimbursements?
A10. Please
maintain receipts, tickets (to-and-fro), boarding passes (one-side travel

- Q11. Where will be the accommodation provided for the conference?
A11. If you are shortlisted for the Student Support Programme, then
accommodation will be provided to you by the organizers in the host
institution.
- Q12. I am shortlisted for the Student Support Programme. I want to
book an accommodation of my choice outside the host institution. Will
ICC 2017 reimburse the amount if I produce the bill?
A12. ICC 2017 will not reimburse any amount for stay other than the
one provided by the organizers in the host institution.
- Q13. By when do I have to report for the conference?
A13. You have to report at the registration desk of the conference on
January 4, 2017.
- Q14. What are the documents that I have to produce on my arrival
at the venue?
A14. You have to produce your valid Student ID card at the
registration desk on January 4, 2017. If any other documents are
deemed mandatory, you will be informed accordingly.
